Planning a wedding can be overwhelming, making it easy to lose sight of the joy that comes with your engagement. That’s why this blog series is designed for brides like you who are diving headfirst into the wedding planning process. In this final post of the series, we’ll be discussing the logistical side of wedding planning to help you stay organized and stress-free.

Managing Your Wedding Invitations

Throughout this series, we’ve covered how to choose a venue and create a color palette for your big day. Now, it’s time to focus on managing your wedding invitations.

When planning a wedding, timing is everything. We recommend sending out save-the-dates six to eight months before your wedding—or even earlier if you’re having a destination wedding. Formal invitations should be mailed out two to three months before the big day, with RSVPs requested at least a month in advance.

To streamline the RSVP process, consider using a spreadsheet or website to track responses efficiently. When designing your wedding invitations, ensure they align with your wedding’s overall aesthetic. Hiring a graphic designer or calligrapher can be a worthwhile investment, saving you time and effort while ensuring beautifully crafted invitations.

Arranging Lodging Accommodations

Once your invitations are in order, it’s time to address lodging accommodations for your guests. Start by estimating how many attendees will need hotel reservations—this may include out-of-town guests as well as local attendees who prefer to stay overnight.

Next, contact local hotels to inquire about room block rates. Once you’ve secured a block of rooms, be sure to provide your guests with clear booking instructions. For example, you might include a note such as, “Mention the Wilson Wedding Block when making your hotel reservation.”

Planning Wedding Day Transportation

When the big day arrives, having a solid transportation plan will ensure that you, your wedding party, and your guests can easily travel between venues.

Start by identifying all the locations you’ll need to travel to and from. If your ceremony and reception are at different venues, consider chartering a shuttle to transport guests. Be sure to establish clear pickup and drop-off locations and provide a schedule for shuttle arrivals and departures.

If you opt not to use a shuttle service, help your guests navigate the area by providing a map with marked travel routes and designated parking locations.
